Authentication Enforcement Policy

Gatehouse Digital will not activate SMTP credentials for any domain that fails SPF and DKIM verification. Domains without a DMARC policy of at least p=quarantine will be flagged during the compliance review process. This requirement cannot be waived.

All new clients undergo the following mandatory steps before platform access is granted.

  • Application Submission

    Business information, intended use case, expected sending volume and contact details submitted via the application form.
  • Identity Verification (KYC)

    Submission of company registration documents, proof of registered address and director identification documentation. We verify against Companies House records for UK entities.
  • Use-Case Assessment

    Our compliance team reviews the proposed use case to confirm alignment with our Acceptable Use Policy and the transactional-only nature of our service.
  • Domain Verification

    DNS authentication records (SPF, DKIM, DMARC) must be configured and verified before credentials are issued. Our technical team provides configuration assistance if required.
  • Risk Assessment

    An internal risk assessment is completed covering sender reputation history, industry risk profile and volume projections. High-risk industries are subject to enhanced review.
  • Credential Issuance

    Upon successful completion of all review stages, SMTP credentials and/or API keys are issued alongside account documentation, compliance obligations summary and escalation contacts.

Zero-tolerance policy: Gatehouse Digital maintains a zero-tolerance position on unsolicited bulk email, spam, phishing and any use of our infrastructure for deceptive communications. Violations result in immediate account suspension without notice. All abuse reports are investigated and where appropriate referred to relevant authorities.

Client account data is retained for a minimum of seven years following account closure in accordance with our regulatory obligations. Identity verification data is retained as required by applicable KYC legislation.

5. Your Rights

Under UK GDPR you have the right to access, rectify, erase (subject to legal retention obligations), restrict processing of, and port your personal data. You also have the right to object to processing and to lodge a complaint with the Information Commissioner's Office (ICO). 6. International Transfers

We do not transfer personal data outside the United Kingdom or European Economic Area except where necessary to provide our services, and only where appropriate safeguards are in place in accordance with UK GDPR requirements.

Terms of Service

These Terms of Service ("Terms") govern your use of the Gatehouse Digital platform and services. By accessing or using our services, you agree to be bound by these Terms. If you do not agree, you must not use our services.

1. Acceptance of Terms

Access to the Gatehouse Digital platform is subject to completion of our compliance review and KYC process. Credentials will not be issued until all pre-activation requirements are satisfied. Use of the platform signifies acceptance of these Terms, our Privacy Policy and our Acceptable Use Policy.

2. Permitted Use

The Gatehouse Digital platform is authorised solely for the transmission of transactional and operational email communications to recipients who have given verifiable prior consent. Marketing email, bulk solicitation, purchased list messaging, and any form of unsolicited commercial email are strictly prohibited and constitute grounds for immediate account termination.

3. Compliance Obligations

You are solely responsible for ensuring that your use of the platform complies with all applicable laws and regulations, including but not limited to UK GDPR, PECR, and any sector-specific regulatory requirements applicable to your industry. Gatehouse Digital reserves the right to suspend or terminate accounts where compliance obligations are not met.

4. Suspension and Termination

Gatehouse Digital may suspend or terminate platform access immediately and without prior notice where we determine, in our sole discretion, that: (a) there has been a violation of these Terms or our Acceptable Use Policy; (b) sending activity poses a material risk to our infrastructure or reputation; (c) there is evidence of fraudulent, deceptive or illegal activity; or (d) we are required to do so by law or regulatory instruction.

5. Service Levels

Gatehouse Digital will use commercially reasonable efforts to maintain platform availability in accordance with the service levels specified in your plan documentation. Scheduled maintenance windows will be communicated with reasonable advance notice. Credits for service outages are subject to the terms of your individual service agreement.

6. Limitation of Liability

To the maximum extent permitted by applicable law, Gatehouse Digital's total liability to you in respect of any claims arising from or in connection with these Terms shall not exceed the fees paid by you in the three months preceding the event giving rise to the claim. We are not liable for indirect, consequential or business loss.

7. Governing Law

These Terms are governed by the laws of England and Wales. You agree to submit to the exclusive jurisdiction of the courts of England and Wales in respect of any dispute arising under or in connection with these Terms.

Acceptable Use Policy

Last updated: 1 January 2026 — This policy is strictly enforced. Violations result in immediate account suspension.

This policy is non-negotiable. The prohibited activities listed below cannot be unlocked by any enterprise agreement, support request, or escalation. Accounts found to be in breach are suspended immediately and permanently.

1. Purpose and Scope

This Acceptable Use Policy ("AUP") sets out the conditions under which Gatehouse Digital Ltd permits use of its messaging infrastructure. This AUP forms part of our Terms of Service and applies to all users, clients, sub-users and any persons accessing the platform through a client account.

2. Authorised Use

The Gatehouse Digital platform is authorised exclusively for the transmission of transactional and operational email communications. Authorised use includes:

  • Account registration, verification and authentication emails
  • Password reset and account security notifications
  • Order confirmations, invoices and receipts
  • Service and account status notifications
  • System-generated operational alerts sent to consenting users
  • Compliance-required notifications to clients or counterparties

3. Strictly Prohibited Activities

The following are absolutely prohibited on the Gatehouse Digital platform:

  • Unsolicited bulk email (spam) — Messages sent to recipients without their specific prior consent
  • Purchased or rented lists — Use of acquired contact lists in any form
  • Marketing email — Promotional communications, newsletters, offers or advertising content
  • Phishing or fraud — Deceptive communications designed to mislead recipients
  • Malware distribution — Messages containing malicious content, scripts or attachments
  • Impersonation — Sending from domains or identities not owned by or explicitly authorised to the account holder
  • High-frequency automated scraping — Using our API to test addresses in bulk without a legitimate delivery purpose
  • Circumvention of suppression lists — Re-mailing to addresses that have unsubscribed or complained
  • Content violating applicable law — Including but not limited to content in breach of UK law, GDPR, PECR or financial services regulations

4. Consent Requirements

All transactional messages must be sent to recipients who have an established relationship with the sender and a reasonable expectation of receiving the communication. Recipients must have provided specific, verifiable consent where required by applicable law. We do not permit consent obtained through bundled opt-ins, pre-ticked boxes, or ambiguous wording.

5. Monitoring and Enforcement

Gatehouse Digital employs automated systems to monitor all sending activity for indicators of policy violation. Our compliance team conducts regular manual review of flagged accounts. We maintain relationships with major ISPs and industry abuse-reporting bodies. Complaints received through these channels are investigated immediately.

Enforcement actions include sending rate throttling, temporary suspension, permanent account termination, and referral to relevant authorities where criminal activity is suspected. We cooperate fully with law enforcement investigations.

6. Reporting Abuse

If you believe that Gatehouse Digital infrastructure is being used in violation of this policy, please report it immediately to abuse@gatehousedigital.co.uk. All reports are investigated within four business hours. We take abuse reports from the wider community seriously and respond to all credible reports.
