Before any sending credentials are activated, all client domains must pass authentication verification. The following records are mandatory.
Gatehouse Digital will not activate SMTP credentials for any domain that fails SPF and DKIM verification. Domains without a DMARC policy of at least p=quarantine will be flagged during the compliance review process. This requirement cannot be waived.

All SMTP connections are encrypted using TLS 1.2 or TLS 1.3. Unencrypted connections are rejected at the relay endpoint. Certificate validation is enforced for all outbound relay connections.
Our relay infrastructure is hosted within ISO 27001-aligned data centres with restricted physical access, environmental controls and redundant network connectivity.
SPF, DKIM and DMARC verification is required for all sending domains before activation. Authentication records are re-validated periodically, and credential suspension occurs on failure.
Dedicated IPs are monitored continuously against major industry blacklists. Our operations team manages delisting procedures proactively and client sending patterns are reviewed against reputation thresholds.
Automated detection systems monitor all sending activity for indicators of abuse including unusual volume spikes, elevated complaint rates and patterns consistent with unsolicited bulk email.
Every new account undergoes manual review by our compliance team. We verify business registration, assess use-case legitimacy and confirm that all technical prerequisites are met before issuance of credentials.

Violations result in immediate account suspension without notice. All abuse reports are investigated and where appropriate referred to relevant authorities.

You also have the right to object to processing and to lodge a complaint with the Information Commissioner's Office (ICO). These Terms of Service ("Terms") govern your use of the Gatehouse Digital platform and services. By accessing or using our services, you agree to be bound by these Terms. If you do not agree, you must not use our services.
Access to the Gatehouse Digital platform is subject to completion of our compliance review and KYC process. Credentials will not be issued until all pre-activation requirements are satisfied. Use of the platform signifies acceptance of these Terms, our Privacy Policy and our Acceptable Use Policy.
The Gatehouse Digital platform is authorised solely for the transmission of transactional and operational email communications to recipients who have given verifiable prior consent. Marketing email, bulk solicitation, purchased list messaging, and any form of unsolicited commercial email are strictly prohibited and constitute grounds for immediate account termination.
You are solely responsible for ensuring that your use of the platform complies with all applicable laws and regulations, including but not limited to UK GDPR, PECR, and any sector-specific regulatory requirements applicable to your industry. Gatehouse Digital reserves the right to suspend or terminate accounts where compliance obligations are not met.
Gatehouse Digital may suspend or terminate platform access immediately and without prior notice where we determine, in our sole discretion, that: (a) there has been a violation of these Terms or our Acceptable Use Policy; (b) sending activity poses a material risk to our infrastructure or reputation; (c) there is evidence of fraudulent, deceptive or illegal activity; or (d) we are required to do so by law or regulatory instruction.
Gatehouse Digital will use commercially reasonable efforts to maintain platform availability in accordance with the service levels specified in your plan documentation. Scheduled maintenance windows will be communicated with reasonable advance notice. Credits for service outages are subject to the terms of your individual service agreement.
To the maximum extent permitted by applicable law, Gatehouse Digital's total liability to you in respect of any claims arising from or in connection with these Terms shall not exceed the fees paid by you in the three months preceding the event giving rise to the claim. We are not liable for indirect, consequential or business loss.
These Terms are governed by the laws of England and Wales. You agree to submit to the exclusive jurisdiction of the courts of England and Wales in respect of any dispute arising under or in connection with these Terms.

This policy is non-negotiable. The prohibited activities listed below cannot be unlocked by any enterprise agreement, support request, or escalation. Accounts found to be in breach are suspended immediately and permanently.
This Acceptable Use Policy ("AUP") sets out the conditions under which Gatehouse Digital Ltd permits use of its messaging infrastructure. This AUP forms part of our Terms of Service and applies to all users, clients, sub-users and any persons accessing the platform through a client account.

All transactional messages must be sent to recipients who have an established relationship with the sender and a reasonable expectation of receiving the communication. Recipients must have provided specific, verifiable consent where required by applicable law. We do not permit consent obtained through bundled opt-ins, pre-ticked boxes, or ambiguous wording.
Gatehouse Digital employs automated systems to monitor all sending activity for indicators of policy violation. Our compliance team conducts regular manual review of flagged accounts. We maintain relationships with major ISPs and industry abuse-reporting bodies. Complaints received through these channels are investigated immediately.
Enforcement actions include sending rate throttling, temporary suspension, permanent account termination, and referral to relevant authorities where criminal activity is suspected. We cooperate fully with law enforcement investigations.
If you believe that Gatehouse Digital infrastructure is being used in violation of this policy, please report it immediately to abuse@gatehousedigital.co.uk. All reports are investigated within four business hours. We take abuse reports from the wider community seriously and respond to all credible reports.
